Preparing a professional RFQ

A well-formed request for quotation gets a firm, comparable offer. A vague one gets a price that will not hold.

The quality of a quotation is largely determined by the quality of the request. A vague enquiry produces an indicative number that changes once real parameters appear, which wastes time for both sides.

What a firm offer needs from you

  • Product and grade, with the parameters that govern acceptance
  • Quantity and unit, and whether this is a trial lot or a repeat schedule
  • Destination port and country
  • Preferred Incoterm
  • Packaging requirement, including any marking or private-label needs
  • Target shipment window
  • Any documentation your destination requires
  • Inspection arrangement — self, seller or third party

The parameters matter more than the product name. "Palm kernel shell" is a category. "Palm kernel shell, moisture 15% max, ash 5% max, foreign matter 2% max, 25 kg bags" is a specification someone can price against and be held to.

Say what is flexible

Marking which parameters are firm and which are negotiable is genuinely useful. If your moisture ceiling is absolute but your shipment window has two weeks of latitude, saying so lets a supplier plan around the season instead of declining the enquiry.

Requesting the tolerance band and the consequence of a deviation in your original enquiry, rather than at contract stage, removes the single most common source of dispute.
